BEFORE & AFTER SCHOOL MEMBERSHIP

The Boys & Girls Clubs of South Central Kansas provide fun, high-quality, safe, and enriching before & after-school care. 

WHAT: Educational Programming, Homework Help, & Daily Warm Meal/Snack
WHO: Kindergarten-18 years old 
WHEN: Program start and end times vary by location
WHERE:
  • Derby Public Schools (Derby Middle, Derby North Middle, El Paso Elementary)
  • Maize School District (Maize Central Elementary, Maize Elementary (Vermillion combines), Maize South Elementary, Pray-Woodman Elementary, Maize Intermediate, Maize South Intermediate
  • Opportunity Drive (Open to members who attend Wichita Public Schools and local private schools)
For school based Clubs: Member(s) must enroll in the school your child attends, so you must know your assigned school before enrolling in programs. We cannot guarantee incorrect site enrollment will be honored at the correct site due to capacity restrictions.

SY 25-26 Enrollment information:

ENROLLMENT OPEN DATES
  • Maize School District: Monday, July 7th at 8am
  • Derby Public Schools & Opportunity Drive: Monday, July 14th at 8am
To complete enrollment, you must purchase a membership AND a program registration. You can check the quantity of spots left for before and after school registrations prior to purchasing a membership by following the steps detailed on the Parent Portal. If enrollment in a program registration is full, you can join a waitlist after purchasing a membership for the program registration you would like for your child to attend. PLEASE NOTE that joining the waitlist does not guarantee your enrollment. Refunds will not be issued if you purchase a membership and then realize program registration is full. 
 
For school-based Clubs: Member(s) must enroll in the school they will attend for the upcoming school year. We cannot guarantee incorrect site enrollment will be honored at the correct site due to capacity restrictions.
 
PARENT ORIENTATION DATES: TO BE DETERMINED
Prior to the start of school year programs, parents/guardians are required to attend an orientation. Dates and times will be sent to you via email prior to the start of the school year. You can also revisit this webpage for updates. If you are unable to attend one of the scheduled orientations, a makeup session will be scheduled by the Unit Director using the contact information provided on your parent portal account.

COST

Our program continues to be one of the most cost-effective childcare options in the state, but unfortunately, the organization's overall costs have continued to rise. Please log-in or create a Parent Portal Account to view School Year 2025-26 Membership and Program Registration Fees. If you already have a Parent Portal account but do not remember your password, or if you are unsure if your child already has an account with you or another guardian, please contact us before creating an additional account.
 
No refunds or transfers allowed under any circumstances.
 
FINANCIAL ASSISTANCE
Families who qualify for state insurance (Sunflower or United Healthcare) are eligible to receive a $50 insurance voucher to apply toward the required Membership Fee. If you have Healthy Blue state insurance, please indicate this when you complete enrollment, and contact your provider directly to ask for your reimbursement card to cover your required Membership Fee. PLEASE NOTE that insurance vouchers can only be used one time per calendar year. If your insurance voucher is denied due to prior use, you are still responsible for the $50 Membership Fee.
 
A scholarship of 50% is also available for monthly program registration fees based on Temporary Assistance for Needy Families (TANF) and U.S. Department of Health and Human Services (HHS) poverty guidelines.

FAQ's

How do I apply for a scholarship?
  1. Login to your Parent Portal (we recommend logging in via a desktop computer)
  2. Select "Update your Profile"
  3. Click the drop down for the "Select Form to Update" and select the "Financial Assistance Application" (Note: you will need to update the Financial Assistance information for each household member)
  4. Click "Next"
  5. Fill out the form, and upload the documents requested (2023 tax documents + 2 recent paystubs or summary of unemployment benefits). Your scholarship will not be processed without 2023 tax documents, and if you don't file taxes, please call 1-800-TAX-FORM (1-800-829-3676) for a verification letter & provide copies of income you receive.
  6. Once the files and forms have been completed then your application will be submitted.
  7. Your scholarship will be processed, and you will receive an email regarding your qualification and next steps.

Please note that scholarships only apply for monthly before and after school fees. The quarterly fees (Derby Middle School, and Opportunity Drive 6-12th graders) are not elligible for scholarships. 

how do i enroll?
  1. Login to your Parent Portal, and select the "Memberships" tab. Select the Club location and follow the steps to purchase a membership. If you would like to use an insurance voucher, post the balance to your household and submit the insurance voucher documentation under the "Documents & Forms" tab. As a reminder, insurance vouchers can only be used for one program per year.
  2. If you would like to apply for financial aid for the monthly program registration payments, please follow the steps below prior to completing your program registration.
  3. After completing your membership purchase, click on the "Registrations" tab and select the program(s) that you would like your child to attend. For those sites offering both a before school and after school program, you will need to enroll your Club member in both program registrations.
when will memberships be available to purchase? when will registrations be available to purchase?

Both the membership and program registrations will become available at the same time on July 24th at 11:00a.m.. You must purchase a membership prior to purchasing a program registration though.

how do i check the waitlist?

We encourage everyone to check the waitlist prior to purchasing a membership. But you will not be able to join the waitlist unless you have a purchased membership. To check the waitlist, login to your parent portal and select the "Registrations" tab. From there you can locate the program you would like to enroll in to see how many spots are available or if there is a waitlist.

where can i learn more about billing?

Please head to the "Parent Overview" tab on our website to view our Parent Handbook. Within the handbook, there are more details about billing schedules and payment plans.

What programs get run during the School year?

We run a variety of different programs- some of which include Power Hour which focuses on academic success and homework help. In addition we run other academic focused programs in STEM, reading, and other targeted activities. We also run our Triple Play program, which focuses on providing kids with the tools to lead a healthy lifestyle.

Will there be a parent orientation and what if I am able to unattend?

Yes, there will be a required parent orientation for each Club location. If you are unable to attend, a makeup session will be scheduled with the Unit Director for your site before your child(ren) is able to attend.

Will fees be prorated?

No. In order to have the flexibility of a monthly billing cycle rather than pay in full up front, our system does not allow for a prorated fee. The monthly fee will be charged between the 1st and 5th of each month. Please see "Billing" section in the Parent Handbook for more information.

is there a multi-kid discount?

Unfortunately there is not any discounts for multiple children in the familiy, but we do recommend applying for the financial aid.

i only need care for a couple of months? can i only enroll in these months?

The system requires you to enroll in the entire school year, but you are welcome to withdraw at any point by providing a two-week notice to admin@bgcsck.org stating the reason for withdrawal and the final date the child(ren) will attend (see "Withdrawal Policy in the Parent Handbook). If you would like to then re-enroll in the programs, your spot will not be guaranteed.

Looking for year end tax information?

To access, view, download or print your monthly financial statements,

  • Login to your Parent Portal.
  • Scroll down to "View Household Details".
  • Click the blue button with the Dollar Sign symbol.
  • Select the blue “Statements” button next to the Account Balance.
  • You can choose to view individual months by clicking one of the circles OR you can choose the “Custom Dates” tab to enter a specific time period.
  • Select "Generate Statement".
  • From here you can now download or print the statement.
